Urban Property Compliance Ltd is the controller for the personal information used to run its website, bookings and portals. Contact the UPC team using the details above for a privacy request. This notice applies to customers, people contacting us, property contacts and professionals joining or working with our network.
Information we handle
- Names, contact details, account details and correspondence.
- Property and billing addresses, service requirements, access instructions, appointment records, inspection findings and certificates.
- Booking references, invoices, payment status, refund records and payment-provider references. Stripe handles card entry; our application does not store full payment-card numbers or security codes.
- Professional applications, qualifications, accreditation, insurance, identity or right-to-work evidence where required, work history, availability, agreed rates and bank details needed for payments.
- Sign-in and security records, IP addresses, browser information and operational logs. Optional measurement data is collected only according to the choice described below.
Information comes from you, an authorised landlord or agent, an assigned professional and the service providers involved in a booking. Please share another person’s details only where you are entitled to do so and make this notice available to them. Do not send health details, criminal-record information or unnecessary identity documents unless we specifically request them for an appropriate, explained purpose.
Why we use it
- Contract and steps before a contract: answering service requests, preparing quotes, organising work, providing portal access, issuing reports and handling payments.
- Legitimate interests: managing professional relationships, coordinating access, keeping records accurate, preventing fraud, protecting accounts and resolving service issues. We consider the effect on the people concerned.
- Legal obligations: applicable accounting, tax, regulatory and lawful disclosure requirements.
- Consent: optional analytics or advertising technology where enabled, and other uses for which we specifically ask permission. You can withdraw consent without affecting earlier lawful processing.
Professional application and compliance decisions are reviewed by people. This website does not make solely automated decisions producing legal or similarly significant effects about applicants.
How long we keep information
Retention depends on the purpose, the type of record, applicable legal requirements and any ongoing dispute. We retain booking, certificate and financial records where needed to provide the service, maintain the compliance history or meet accounting and legal obligations. Professional evidence is reviewed against the work relationship and the need to verify eligibility. Unsuccessful enquiries and applications should not be retained indefinitely.
Security logs and verification records have different operational purposes from customer invoices. There is no single legal rule requiring every item of customer data to be held for seven years. Ask us for the retention period or deletion review applicable to a particular record. Information that must still be retained for a legal reason may not be immediately erasable, including copies awaiting the normal backup lifecycle.
Your choices and rights
Depending on the circumstances, you can ask to access or correct your information, erase it, restrict its use, object to processing based on legitimate interests, or receive portable data. You can withdraw consent for uses that rely on it. We may need to confirm your identity before releasing personal records. We normally respond within one calendar month, subject to lawful extensions and exceptions.
You can contact us first to resolve a concern and can complain to the Information Commissioner’s Office. Exercising these rights does not require you to buy a service.
Keeping information safe and contacting us
We use access controls and technical measures to reduce unauthorised access. No online service can promise absolute security. Sign out on shared devices and tell us promptly if an account or document appears to be exposed. This notice may change as the service changes; the update date appears at the top.
